# Payroll Policy

This Payroll Policy outlines the salary payment process, payroll schedule, attendance requirements, deductions, allowances, incentives and other payroll-related procedures applicable to employees of Basina Infotech. By accepting employment with the Company, employees agree to comply with this Policy.
## Scope
This Policy applies to all permanent, probationary, contractual, temporary, part-time, internship and freelance employees unless otherwise specified in their employment agreement.
## Payroll Cycle
The Company's payroll is processed on a monthly basis, covering the period from the 1st to the last day of each calendar month.
## Salary Payment
* Salaries are generally processed between the 3rd - 5th of the following month.
* Salary will be credited directly to the employee's registered bank account or any other payment method approved by the Company.
* Salary payment dates may vary due to banking holidays, public holidays or unforeseen operational circumstances.
### Salary Processing for Employees Joining After 15th
* If an employee joins the Company after the 15th day of a calendar month, the salary for the eligible working days of that month will be calculated according to the Company's applicable attendance and salary calculation rules.
* The salary earned for that partial month will be carried forward and paid together with the following month's salary.
* This rule applies only to the timing of payment. Salary earned for eligible working days will not be forfeited.
* If an employee joins on or before the 15th day of the month, the salary will normally be processed according to the Company's regular monthly payroll cycle.
* All payments remain subject to attendance verification, applicable deductions, approved leave, unpaid leave and other lawful adjustments.
## Attendance & Salary Calculation
Salary is calculated based on:
* Attendance records.
* Approved leave.
* Unpaid leave.
* Late arrivals or early departures (where applicable).
* Approved overtime (if applicable).
* Approved incentives, commissions or bonuses.
Employees are responsible for ensuring their attendance records are accurate.
### Working-Day Salary Calculation
The Company's salary calculation is based on the total scheduled working days of the full calendar month, regardless of the employee's joining date.
Only eligible paid working days will be considered for salary payment.
The following rules apply:
* Present working day: Paid.
* Approved paid leave: Paid where applicable.
* Unpaid leave: Unpaid.
* Unauthorized absence: Unpaid.
* Weekly holidays: Not counted as working days and are unpaid unless otherwise specified by the Company or applicable employment terms.
* Unpaid company holidays: Not counted as paid working days.
* Paid company holidays: Treated according to the Company's applicable holiday policy.
* Working days before the employee's joining date: Treated as unpaid/non-payable days for payroll calculation purposes.
* Working days after the employee's last working day: Not payable.
* Eligible scheduled working days during the employee's employment period: Included in the salary calculation.
### Salary Calculation Formula
Working-Day Rate = Monthly Salary ÷ Total Scheduled Working Days in the Full Calendar Month
Salary Payable = Working-Day Rate × Total Eligible Paid Working Days
The denominator will always be based on the total scheduled working days in the full calendar month, not only the number of working days remaining after the employee's joining date.
### Partial-Month Joining
If an employee joins after the first day of a calendar month, salary will be calculated using the total scheduled working days of the full calendar month.
Working days falling before the employee's joining date will be treated as unpaid/non-payable days.
Such days will not be treated as paid working days and will not increase the employee's payable salary.
Weekly holidays and declared holidays are not treated as working-day absences and are excluded from the working-day calculation.
### Unpaid Absence
If an employee is absent on a scheduled working day without approved paid leave, that day will be treated as an unpaid day.
The corresponding amount may be deducted from the employee's salary using the applicable working-day rate.
### Approved Leave
Approved leave will be treated according to the Company's applicable leave policy and the employee's employment terms.
* Approved paid leave will be paid where applicable.
* Approved unpaid leave will be unpaid.
* Leave without required approval may be treated as unauthorized absence.
## Salary Deductions
The Company may make deductions from salary where applicable, including but not limited to:
* Unpaid leave.
* Salary advances or loans.
* Recovery of Company property not returned.
* Statutory deductions required under applicable law.
* Other deductions permitted by law or agreed to by the employee.
## Overtime
Where overtime is applicable, it must be approved in advance by the reporting manager or management. Overtime compensation, if any, will be governed by the employee's employment terms and Company policies.
## Incentives, Commissions & Bonuses
Performance incentives, sales commissions, bonuses and other variable compensation are governed by the employee's Appointment Letter, Compensation Plan, Incentive Policy or any other written agreement approved by the Company.
Eligibility, calculation, approval and payment of such incentives remain at the sole discretion of Basina Infotech unless otherwise agreed in writing.
## Salary Revision
Salary revisions are not automatic and may be considered based on:
* Performance evaluation.
* Skills and responsibilities.
* Attendance and discipline.
* Business requirements.
* Company performance.
* Management approval.
Any salary revision shall be communicated in writing.
## Probation, Resignation & Termination
### Probation Period
Unless otherwise specified in the employee's Appointment Letter, every newly appointed employee shall remain on probation for a period of three (3) months from the date of joining.
During the probation period, the Company shall evaluate the employee's performance, attendance, conduct, discipline, skills and overall suitability for continued employment.
The Company reserves the right to:
* Confirm the employee's employment upon successful completion of the probation period.
* Extend the probation period where additional evaluation is required.
* Terminate employment during or upon completion of the probation period in accordance with the Appointment Letter and applicable laws.
Successful completion of the probation period shall not automatically entitle an employee to salary revision, promotion, bonus or incentive unless approved by the Company in writing.
### Resignation & Notice Period
Employees intending to resign must submit a written resignation and serve the notice period specified in their Appointment Letter unless otherwise waived by the Company in writing.
Employees are required to continue performing their assigned responsibilities and complete all work, project handover, knowledge transfer and asset return obligations during the notice period.
Failure to complete the required notice period without prior written approval may result in recovery of notice pay or other lawful recoveries in accordance with the Appointment Letter and applicable laws.
### Termination by the Company
The Company reserves the right to terminate employment in accordance with the employee's Appointment Letter, Company policies and applicable Indian laws.
Where employment is terminated by the Company, the employee shall be entitled to receive the full monthly salary applicable for the month in which the termination takes place, irrespective of the employee's actual last working day during that month, subject to lawful deductions, recoveries and applicable statutory requirements.
The full monthly salary payable under this provision shall not be prorated solely because the Company terminates the employee before the end of the relevant calendar month.
Any pending salary, approved incentives, commissions, notice pay, leave encashment, statutory benefits, retrenchment compensation or other applicable dues shall be processed and paid in accordance with the employee's Appointment Letter, Company policies and applicable Indian law.
The full-month salary provided under this clause is an additional contractual benefit provided by the Company and shall not limit, replace or waive any statutory payment, compensation or benefit to which the employee may be entitled under applicable Indian law.
### Absconding / Abandonment of Employment
An employee who remains absent from work without authorization and fails to respond to Company communications within a reasonable period may be treated as having abandoned employment in accordance with Company policy.
In such cases:
* Salary shall be payable only for verified days actually worked.
* No salary, allowance or other employment benefits shall accrue beyond the employee's last verified working day.
* The Company may recover notice pay, salary advances, Company assets, damages or any other lawful dues in accordance with the Appointment Letter and applicable laws.
* Final settlement shall be processed only after completion of the required exit formalities and lawful recoveries.
## Payroll Confidentiality
Salary, payroll records, incentives, commissions and compensation information are confidential. Employees shall not disclose or misuse payroll information relating to themselves or any other employee without proper authorization.
## Payroll Discrepancies
Employees should report any payroll discrepancies within seven (7) working days of receiving their salary.
Verified payroll errors shall be corrected as soon as reasonably practicable.
## Final Settlement
Upon resignation, retirement or termination, the employee's final settlement shall be processed only after:
* Completion or waiver of the applicable notice period.
* Completion of all assigned work, project handover and knowledge transfer responsibilities.
* Return of all Company property, equipment, documents, access credentials and other assets.
* Clearance of all outstanding dues, recoveries or liabilities.
* Completion of the Company's exit clearance process.
The Company reserves the right to adjust any lawful deductions, recoveries or liabilities against amounts payable to the employee in accordance with applicable laws.
Final salary and settlement shall be released after successful completion of the above requirements and within the timeline prescribed under applicable law or Company policy.
## Taxes & Statutory Compliance
Basina Infotech shall comply with all applicable tax laws and statutory requirements relating to payroll, including salary deductions, tax reporting and employee benefits as required under the laws of India.
## Employee Responsibilities
Employees are responsible for:
* Providing accurate bank account and personal information.
* Reporting payroll discrepancies promptly.
* Maintaining attendance honestly.
* Returning all Company assets upon separation.
* Keeping salary and payroll information confidential.
* Complying with this Payroll Policy and all related Company policies.
## Policy Amendments
Basina Infotech reserves the right to amend, modify, suspend or withdraw this Payroll Policy at any time to meet business, operational or legal requirements. Updated versions shall become effective upon publication on the Company's website, employee portal or through any official Company communication.
